Project Communication Pack

Keep clients informed and keep a clear record. Send a short weekly progress report, collect feedback with the exact location of every change, and log each decision with who made it, when and the evidence. The three examples follow the same fictional project so you can see how they connect.

Feedback and revision sheet

One sheet per document or asset version that the client reviews.

Decision and approval log

Keep it for the whole project.

Each decision required, when and by whom it was requested, the document and version, the decision made, who made it and when, the evidence, and the follow-up action. Pending requests are kept apart from actual approvals.

Word files open in Microsoft Word, Google Docs, Apple Pages and LibreOffice; we checked them in LibreOffice. The progress report is US Letter portrait; the feedback sheet and decision log are landscape. The examples use an invented web studio and florist.

How the three fit together

  • The weekly report lists the decisions the client needs to make; each one goes into the decision log as Pending.
  • When the client reviews a draft, their comments go on a feedback sheet for that version; their overall verdict goes into the log.
  • The log is the single record of what was agreed and how you know.

Common questions

Does writing someone’s name in the decision log count as their signature?

No. The log records who decided, when and the evidence — such as the email or meeting notes where they said so. A typed name is a record, not a verified electronic signature.

What is the difference between a decision needed and an approval?

A decision needed is a request: it appears in the progress report and as a Pending row in the log. It becomes an approval only when the person who can decide answers, and you record who, when and how.

What should the budget status be based on?

Say exactly how you worked it out — for example hours logged against the estimate, or invoices raised against a fixed price. It is an estimate on that basis, not an invoice, and it is optional.
