Work Order & Handover Pack

Three forms for getting jobs done and passed on cleanly: a work order that tells the team exactly what to do and records what actually happened, a handover that tells the customer what is finished and what is not, and a shift handover so nothing is lost between people.

Work order

Give it to the person doing an agreed job, before they go.

Job reference and what it was agreed in, customer, site and contact, time window, who is assigned, numbered instructions, materials and equipment, access notes — and a completion record, including anything not finished.

Customer job handover

Leave it with the customer when you finish (or pause) a job.

What is still to do — first, with why and when — then the work completed, what happens next, and how to look after the work. Signing confirms receipt, not that everything is finished.

Staff shift handover

Keeping unfinished work visible

  • The work order’s completion record has a line for what was not completed and the follow-up needed.
  • The customer handover lists outstanding items first.
  • The shift handover puts priorities and promises to customers ahead of everything else.

Common questions

Does a work order show the job was done?

No. It is the instruction. The completion record at the end — filled in on site — records what was done, when, and anything not finished, so it can be followed up.

Why does the customer handover start with what is still to do?

So nothing unfinished is missed or buried. Each outstanding item says why it is not finished, who will do it and when, before the list of completed work.

Can the forms be filled in by hand?

Yes. The blank PDFs have room to write on every line; the Word files can be filled in on a computer or tablet instead.
