Quote & Estimate Builder
Create an itemised quote or estimate for a customer. Add the work and prices, any optional extras, discount, tax or deposit, check the preview, then download a PDF to send. A quote is an offer, not a bill — invoice the work once it is done.

How the totals are worked out
Line amount = quantity × unit priceSubtotal = the sum of the included linesTaxable amount = taxable lines − their share of the discountTotal = subtotal − discount + taxBalance = total − deposit- Prices are entered without tax. You choose the tax rate and which items it applies to.
- The discount is shared between taxable and non-taxable items in proportion to their value; the taxable share is rounded to the cent and the rest goes to the non-taxable items, so the two always add up to the discount.
- Every step is calculated exactly in cents (or yen, or the smallest unit of your currency) and rounded half-up.
- Optional extras are listed separately on the PDF and are not added to the total unless you mark them as included.
Worked example
Two items at $100 each give a subtotal of $200. A 10% discount of $20 leaves $180 taxable; 10% tax adds $18, for a total of $198. A 25% deposit requests $49.50, leaving $148.50 to pay later. Select Example above to see it.
Good to know
- Work out your price first. The Job / Service Pricing Calculator shows what to charge from your costs; keep those costs and your margin off the quote.
- A clear scope prevents disputes. Describe what is included and what is not, or attach a scope of work.
- This builder makes the document; it does not send it, track it or collect signatures. Email the PDF yourself.
- Your logo is resized on your device. Only PNG and JPEG images up to 2 MB are accepted.
Common questions
What is the difference between a quote and an estimate?
A quote is a fixed price for the work described. An estimate is your best expectation of the price, which may change if the work turns out differently. Choose the one that matches what you are offering; the PDF is titled accordingly, and an estimate says that the final price may differ.
Is my customer’s information uploaded or saved?
No. The PDF is created in your browser and nothing is sent to Cleverlio or anyone else. While you work, a copy is kept in this browser tab only (session storage), so a reload does not lose it; it is removed when you close the tab or select Clear form. To keep a quote for later, save a draft file to your own device.
How are the discount and tax calculated?
Every amount is calculated exactly in cents (or the smallest unit of your currency). The discount is shared between taxable and non-taxable items in proportion to their value, and tax is charged on the taxable amount after its share of the discount. Each step is rounded half-up to the cent.
Does the deposit make this an invoice?
No. The deposit line is a request, and the PDF says it is not an invoice or a receipt. When the customer pays, send them an invoice or receipt from your accounting system.
Which tax rate should I use?
The one that applies to your business and customer, which only you or your accountant can confirm. The builder does not look rates up. Leave the rate empty if you do not charge tax, and untick “Tax applies” on items that are exempt.
